WORK FLOW FOR FACILITY MAINTENANCE

ONE TIME STEPS TO DO: STEP 1: To Create the Activity Type  in Masters Path: Maintenance>Masters>Activity Type    For e.g.,
  • Enter Code as PM
  • Enter Preventive Maintenance
  • Enter  remarks for any explanation if required
  • Click save
Click here Activity Type STEP 2: To create  the list of Activities  ( under each Activity Type) in the Masters  Path: Maintenance>Masters >Activity  
  • Create a relevant code as e.g., MM
  • Enter the Name as e.g., Monthly maintenance
  • Select the Activity type as Preventive maintenance
  • Click save/update
Click here Activity STEP 3: To create an Asset Type in Masters Path: Maintenance>Masters>Asset type  
  • Select the Code category as Asset Type
  • Create a relevant code for an asset type e.g., AS000025AS
  • Enter  the Name  for the asset type e.g., POWER TRANSFORMERS
  • Select the Tracking type
  • Select the Nature
  • Select the Asset schedule
  • Select the tab –Activity
  • Enter the fields
  • Use Add row to enter more than one activity
Click here Asset Type STEP4. To create the list of  Assets (under each Asset Type) in Masters  Maintanence> Masters> Asset
  • Select Asset Type from the picklist e.g., POWER TRANSFORMER
  • Create a relevant  Asset Code 
  • Enter the Asset Name
  • Enter the batch serial
4(A): Select the tab - classification and fill all the details 4(B): Select the tab - parameter and fill all the details 4(C): Select the tab - FMS
  • Select Party type as Own asset
  • Select the Running status as Running
  • Select energy metering as Not required
  • Click update
Click here Asset STEP 5: To  create the  list of Parameters in the Masters Path: Maintenance>Masters>Parameter
  • Create a relevant code
  • Enter the name of the parameter 
  • Enter all the fields
  • Click save
Click here Parameter Step 6: To set the Parameters for a particular Asset Type  Path: Maintenance >Masters>Parameter Set  
  • Select the Code & Name of the Asset Type (already created by you) for e.g., Breaker
  • Select the parameters to set ( already created by you)
  • Use Add Row to set more than one parameter
  • Click save/update
Click here Parameter Set STEP 7: To  schedule the activities to be done  for each Asset Maintenance >Masters>Asset Activity  
  • Select Type as Asset
  • Select  the Asset Type, Asset & the Activity from the pick list (already created by you )   
  •  Select the Assigned to as e.g., User 
  • Select the user from the picklist ( already created by your admin)
  • Select the Parameter set from the picklist (already created by you)
  • Set the Scheduler by selecting  from one of the various options 
  • Click save/update
Click here Asset Activity  STEP 8: To create the Party with Branch Click Accounts>Master>Ledger>Party with Branch
  • Create the codecategory as Party
  • Create the code for the Party (Auto Generated)
  • Enter the Name, Shortname, currency of the Party
  • Select account 
  • Select the Account Group
  • Select the tab – Party branch and enter all the fields.
  • Click save/update 
STEPS TO DO ON A REGULAR BASIS: STEP 1: To Create Task  Path: Maintenance>Transactions>Task Generation   
  • Select Asset Type
  • Select the Asset
  • Select the Party Branch
  • Select the Activity
  • Enter the Task date
  • Click Generate
Click here Task Generation STEP 2: To schedule a Task Path: Maintenance>Transactions>Task  
  •  Click the Plus sign to add a new task 
  • Task Number is Auto-generated
  • Select the Name of the Task
  • Select the Nature as Asset
  • Select the type as Task
  • Select the Activity, In-charge, Assigned-to
  • Enter all the fields in Plan.

WORKFLOW FOR CALL REGISTRATION: STEP1: To register the calls which come for small functional Problems    Maintenance >Masters>Call Registration  
  • Select the Number(Auto Generated)
  • Select the Type as Call Registration
  • Enter the Date
  • Enter the problem
  • Select all the fields under call From &callTo
  • Select Type of call as Indoor
  • Select call status as working
  • Select the Call details tab and Enter all the fields.
  • Click save/update

  • Maintenance>Transaction>Workbench
  • Select Type as Call 
  • Click save/update
