Overtime Entry

Goodbooks Overtime Management System Feature helps you to define and configure overtime settings like minimum & maximum overtime hours, calculation factor for weekly off overtime and holiday overtime hours effortlessly. It enables the approval authority to approve / reject / forward the overtime hours of an employee, based on the company’s rules and regulations. Also with the help of our compromised Overtime Reports you can view the details of Worked Hours, OT hours, Weekly off OT hours, Holiday OT hours for each employee & each date between the selected periods. In the overtime entry screen, the practical overtime hours which an employee has worked will be recorded by entering the specific time and date the employee has worked for the organization. By capturing the exact overtime and in-date both the employee and the organization are benefitted by considering the monetary aspects involved which reflect in salary, the cost involved in the production, and output after shift hours will be brought into account. Go to Path: HRMS - Transaction - Attendance - Overtime Entry Therefore the Overtime Entry is a vital tool for the growth of the organization, the concept we discussed in OT creation and configuration mainly applicable for the workers, whereas the Staff is provided with comp-off.  
  1. Biz Transaction Type: The Business Transaction type is a predefined one, select the required type depends on the requirements.
  2. Overtime No: The Overtime Number will be generated automatically, once the details are filled in. Each overtime entry will be having different overtime numbers.
  3. For the Date: The date on which an overtime entry record is created will need to be entered here.
  4. Remarks: Write any remarks for the overtime entry. The details and why the overtime entry is created can be entered here.
  5. Filter: The filter button will enable the user to segregate the employee depends on the department, work type, employee type, and staff type, etc.
  6. Advanced Filter: Click the yes from the list to enable the advance filter. The advanced filter provides an efficient way to filter the required employee with names and dates.
    • Date From/Date To: The start and end date of the overtime hours done by the employees.
    • Employee Name: The employees who are done overtime for the selected date is needed to be chosen here.
  7. As the picture illustrates, the table is a previously captured entry of a person who has worked overtime on the days mentioned in the remarks, so as per the days the Overtime entry days with hours will be matched and prioritized.
  8. Click the Save button to record the overtime entry. 
Overtime taken by the employee will get reflected from the Monthly and in the Daily attendance.  The OT minutes are manually entered when the employee is contributing extra work hours. It is indecision by the Head of the Department or the Operation Head to sanction the overtime taken by the employee. For example, If an employee works for 3 hours but the sanctioning of the worked hours is in hands of the HoD to approve only for 2 hours. This approval will be sent to the HR department and only the 2 hours will be mentioned in the Overtime Entry page, which will reflect in the Overtime Summary report and calculated for further procedure.  These are the steps for Overtime entry.
