The shift pattern screen can be used to focus on the pattern of each shift in a work cycle defined by the user.
After the successful implementation of Shift Master in the Attendance settings for the entire organization, the implication of the shifts can be easily centralized by the groups we already discussed.
#Biometric (sample video) is the best way to capture the implemented shift pattern. This is called a shift pattern, in more simple words can be illustrated by the following.
Path: HRMS> Master> Attendance Setting> Shift Pattern
- Code & Name: Type the code and name of a shift pattern. E.g. SP1 as code and Shift pattern 1 as a name.
- Pattern Type: The pattern Type field has five variants. Revolving can be selected for shifts where the employee follows the same cycle of shifts designed by the employer. A fixed Date pattern is used when there is a shift cycle based on a mentioned date or dates. A field will be generated to specify the dates if the fixed date is the option. Similarly, the Fixed Day type can be selected if the type of shift, changes based on a selected day. No Rotation is a constant shift pattern type that has only one type. Weekly Off shift pattern allows holidays along with a work cycle.
- Revolving Pattern – In a revolving pattern, the employees who are allocated to work in this pattern will get a revolving day or week in their schedule. This allocation of schedules changes as per the Organizations shifts Fixed Date – means the dates allocated for a continuous period will never change, for instance, if an employee works on this fixed date that is as per the production schedule, it will not change in between. If it is 15 days for a month that the employee should work in the morning 6:00 AM to 2:00 PM shift, it will remain the same until further process from the Organization. The Fixed date is set as the default name, as per Organization understanding it can be also kept as Work Date, Allotted date with timing, Punch dates, etc.,
- Fixed Day – Default employee working days are 6 days a week, but in the week an employee will be given a slot to start the day between the week, say Wednesday to next Wednesday and in this week he/she will get a scheduled week off. And this fixed day will not be changed, until further notice. As said the name meaning can be changed as per Organization preferences
- No Rotation – This is a basic concept, usually given for Administration or Management employees, morning till evening shift. But this can be also scheduled for tactical working employees, that the employees will be in any shift fixed by the Organization, which will have no rotation.
- Flexible Pattern – According to the employee shift the attendance will be captured, these employees will not be scheduled with the shift timings when the employee comes to work, and punches are called Flexible shifts. But they will also be accounted for in business.
- Weekly Off – The weekly off coordinates with all the patterns, this Pattern being mandatory. Weekly off goes with all the Shifts, from General to all the Production Shifts. The Code and Pattern can be altered as per company specification, it is eligible to modify the codes as per their schedule perspective. Different companies have different sets of names for codes and patterns to be easily understood. These codes and patterns will be assigned to employees to that shift. The above illustration is an example of a particular sector, maybe a production industry, engineering industry, or IT industry. Whatever the organization represents to be the code can be managed according to theirs. Now let’s break down even deeper,
1.Fixed Pattern: Code – FixedPat
Fixed pattern – is levied upon the administration or management-level employees. The fixed pattern will not be changed in the near future, and in that fixed pattern the pattern type will default assigned will be No Rotation. This shift pattern type while selecting it will be recorded as follows, for example, Wednesday to the next Wednesday. This is the employee’s default shift pattern and in that the week off will be given. Most of the time it will be a shift from Monday to Friday or Saturday based on the Organizations Decision.
In the Pattern type – if a fixed day has opted then the employee shift day starts from that day and counts to be a week, including a week off. The shift can be general, or any production shift. So if a Fixed day is fixed for an employee, the day will not be changed unless further notification.

Fixed Day
Fixed Day – For a given project, employees have to be allocated to complete the work, to complete the project in the said day, employees will be assigned as per the skill, so to avoid delays, employees cannot be allotted to work continuously, for that shifts are framed. Therefore to fill the gap between works, employees will be grouped according to day schedules and finish the work.
The days as said above can be any weekdays, from Sunday to Saturday the employees will be scheduled to work, with a week off in that.
For example: if an employee is scheduled on Tuesday as the first day of work then the week off will be on Monday, but this is decided by the Organization. And the day allotted will not change until further confirmation.
Fixed Date
Fixed date – Allocating an employee for continuous dates to work. The fixed date works with the Production Shift employees mainly, for example, group of employees is allocated for one Production Shift 6:00 AM to 14:00 PM for the next 15 days, the dates will not be changed for that particular 15 days, including week off’s and the same is applicable for the next 15 days, covering the whole month.
The date here is predetermined, when the date is selected as 1, it will automatically calculate the next 15 days or days fixed for work by the department. The first allotted days will be for one Production Shift timing, and the rest follows.
1-15 days will be like – 6:00 AM to 14:00 PM
15 – 30/31 days will be like – 14:00 PM to 22:00 PM
Both the shift timing may be subject to the department.
With the Fixed pattern in mind, the No rotation and Fixed day, Fixed Date is conclusive to the options said above, for scheduling the employee to that pattern type.
2. Revolving Pattern: Code – RevolPat
Revolving Pattern: The Revolving pattern is an inter-connected shift pattern. It designates the production shift pattern employees are segregated as per their shifts. This revolving pattern changes as per the project, any employee can be added with this pattern or controlled separately as per the department’s decisions.
As the picture states, the revolving pattern will be scheduled according to the shift timings, for example, this week, if an employee is scheduled to work in a 6:00, Am to 2:00 PM shift, the next week the shift may change to 14:00 PM (2:00 pm to 10:00 pm shift) to 22:00 PM. If the shift is scheduled with the timings it will not change between a week, but it may change week wise,
The revolving pattern also has affixed log-in timings. But it exactly matches the revolving pattern, mentioning the production shift timings.
3. Flexible Pattern: Code – FlexPat
Flexible Patterns are mainly scheduled for the Strategic or Operational level employees. The deciding authorities, the business management employees, Senior level or Grade level employees, are brought into this flexible pattern shift.
Why? – They are intended to bring in the business to run the organization. They are the makeovers of the business. That’s why these employees are considered in this shift pattern.
Does this concept is applicable for all the employees as said above, maybe the answer is no Because there is n number of departments in an organization, in this the main department who are given allocation is the management grade employees, sales managers and their executives, logistics managers, and their professionals? Likewise, the segmentation of the employees in the flexible pattern will be logged in the attendance, these employees will be privileged with online biometrics, which is a simple procedure these days.
Good Books HRMS has been made very easy to use Enterprise Resource Planning (ERP) software. The configuration is a simple access software, which is Software as a service (SaaS).
For Example: If the concern selects Fixed Pattern as an option for a particular shift pattern, the code chosen automatically drives out the fixed pattern and the entry for the production shift timing also drives out the data the same which can be viewed in Employee Master under the Tab Employee details. {#Master → Employee Details → Employee Master (explained in Employee Details in the topic – Organisational Management) or Reports → Checklist → Shift }. Each employee’s details are found.
- Type: Choose the type of day from the options. There are four types in this list; full/half working day, weekly off, and others.
- Shift: Type a shift name. This shift will be followed for the corresponding shift pattern selected before.
- No of days: Enter the number of days the selected shift has to be followed if it is in a revolving type or otherwise.
- Click the Save button.
