Report Scheduler

Scheduler or Report Scheduler A Scheduler  means as the name suggests is a feature or a setting that helps us schedule something  to be done at a particular time, Benefits of a scheduler: A scheduler can be used for the following purposes.
  1. Schedule a Report mail to be generated at a particular time to the specified set of people - Scheduler Mail e.g., A Late Arrival report to be generated to the HR Manager & the CEO of the company.
  2. Schedule an Event mail to be generated or SMS to be generated when an action is done to specified persons-Alert Mail e.g., When a leave /permission request is submitted a mail is generated to the requester and the approver or when a cheque is issued or When a complaint call is registered and assigned to someone, email gets generated to both the Incharge who receives the complaint and the assignee also.
  3. Schedule a job to be done at a specified time (Job scheduler)
How to set a scheduler mail? How to create the dynamic report views? (A) Naming the scheduler (B) Scheduling (C) Scheduler restarting (A) NAMING: Path:  Module > Reports > Select the specific report>   1.Go to the specific report for which a scheduler needs to be created and click on the found on the top right of the screen. For e.g., HRMS Module> Late Arrival Report The report gets displayed on the screen and Click settings 2.Click the scheduler the lightbox 'Action setting for the report 'is displayed. This will contain the list of scheduler reports which were already set. 3.To set a new scheduler click Add another lightbox appears where you can enter the required information for setting the new scheduler (a) Scheduler name: Select the scheduler Name from the picklist which is already available n the system. fo e.g., Daily 7 AM (b)Action Type: Select the action type from the picklist 
  • SIMPLE MAIL - A mail without an attachment
  • SMS - Message to the mobile no. given
  • REPORT MAIL- A mail with a report as an attachment
  (c) Select the Report Mail Click on the Condition button so that you set the condition for generating this mail. E.g. Only For invoices above value X, mail can be generated by choosing the appropriate condition here. This is usually available already and all you have to do is select the right option. For reference, you can even type the condition in the Eval Condition field. (d)Template: Select the mail template from the picklist which is already available. This is the format of the scheduler mail that is being set for the report. (e)Report: Here the name of the report which has been selected to set scheduler is automatically generated. Don't make any changes (f)Criteria Configuration Select the one created in the Naming step. Criteria configuration simply refers to the filter configuration that you have saved for your reports. You select the required one here. (g) Report Format This is also a reference field that is not to be edited. The current report format of this report will be shown here.

In this field, type the mail ID of the recipient here. But this may not suffice in certain instances. So you should click on the Advanced button. In the Delivery type, select the type of recipient here. E.g. If it is an employee, you can simply select the employee. But when it is a role, the mail will be sent to all the persons belonging to that role. Reply To should have the email ID of the responder. There is also the Mail CC (carbon copy) tab letting you define who all should receive a cc of the mail. Likewise, the same details can be set for the Mail BCC tab.
