How to create a new task?
Path: Transaction > Task >
The new screen will be opened in the dashboard.
1. Number: The task number will be generated automatically only after we fill up all the fields & save.
2. Date: This date is the default system date.
3. Name: Enter the name of the task
4. Description: Enter the description of the task.
5. Nature: Select from the drop-down list.
The work is selected as default for project management purposes.
6. Type: Select the type of task from the drop-down list.
To understand & select the type of task, refer to Hierarchy of Tasks
7. Parent: Select the appropriate parent task from the drop-down list.
The milestone is the parent for heading, the heading is the parent for work, work is the parent for the task. Refer Parent Task
8. Requester: Select the name of a requester from the drop-down list.
A requester is a person who is authorized to approve the task lists from his subordinates.
9. In-charge: Select the name of an in-charge from the drop-down list.
In-charge is the person who is responsible for the task/work.
10. Activity: Select the type of activity from the drop-down list.
The activity is used to define similar types of tasks.
11. Allocation: Select the allocation type.
The allocation should have been created earlier by the organization.
12. Assigned to: Select the assignee type (The group to which the assignee belongs).
13. Assignee: Select the name from the drop-down list.
An assignee is a person who is actually performing the task.
14. Plan :
Select the appropriate date on the following fields.
1. Start On: Enter the planned start date by clicking the calendar icon.
2. End On: Enter the planned end date by clicking the calendar icon.
3. Due On: Enter the planned completion date by clicking the calendar icon.
4. Expiry On: Enter the planned expiry date by clicking the calendar icon.
Once the expiry date is entered, the assignee needs to get approval from the requester to increase the time or extend the date for the task.
5. Day: Enter the total number of days to complete the task.
6. Hours: Enter the total number of hours required to complete the task.
7. Grace time: Enter the grace time required. The grace time is an additional time needed to complete the task.
8. Expiry time: Enter the completion time of a task. The task expires after the expiry time.
9. Available time: It gets calculated automatically. (Total time-consumed time = Available time).
10. Roll-up Type: Select the roll-up type from the drop-down list.
a. None
b. Roll up
c. Roll down
Use the Roll up or down option to get additional duration or get an extension for the completion date with approval.
Generally, for creating a work Roll-up type is selected. For creating a task None or Roll-up type is selected.
15. Cost: Enter the cost incurred to complete a task.
Revenue: Enter the revenue generated by completing the task it will be filled by in charge or higher authority.
16. Actual:
All the above fields get automatically updated based on the submission of DR.
1. Days: This shows the actual days consumed for completing the task partially or fully at any given point in time.
2. Hours: This shows the actual hours consumed for completing the task partially or fully at any given point in time
3. % completion: This shows the percentage of tasks completed.
4. Start On: This shows the actual start date of the task.
5. End On: This Shows the actual end date for the task.
6. Actual Cost: This shows the actual cost spent on a task.
17. Extra Details:
1. Type: Select the type of task from the drop-down list.
2. Ref No: Enter the reference number. It can be a ticket number of an issue logged or an order number from the client.
3. Approval: The check box needs to be checked (ticked) to get approval from the requester.
Without approval, the task will not appear in the DR to submit.
4. Status: Select the status.
18. Click the attachment icon to attach any file with the task if required.
19. Click the Save button to save.
The details are saved and the task number gets generated. The pop-up screen will appear on the screen.
