How to create a New Lead?

Path: Transaction > Lead > Plus icon    The lead register screen will get displayed, then click the plus icon. The new lead screen will be opened.
  1. Code: The code will be generated automatically only after we fill up all the fields & save.
  2. Date: This date is the system default date.
  3. Ref No: Enter the number which is used to refer or identify the references through which the lead was generated. The ref no can be based on different types of sources of references. This can also be a Tender No., an advertising no., a company or a personal contact, etc.
  4. Reference Date: Enter the date on which the lead was referred.
  5. Name: Enter the name of the client.
  6. Details: Enter the details of the client like the industry to which the client belongs, the type of business like manufacturing, distribution, etc, and the products or services that they deal with.
  7. Fill the Client box as follows:
 

7.1 Party: Click the +icon on the right-most end of this field. The Party lightbox opens up. 

  • Party Code: This gets generated automatically only after all the fields in the Address Tab are filled and the Save button is clicked.
  • Party Name: Enter the Party Name.
  • Account: Tick the Check box 
  • Status: Select active when creating a new lead.
  • Short Name: Enter the Short name for the Party
(A). Address: By default, the Address tab is selected.
  • All the other fields are self-explanatory. 
  • Zipcode: Enter the PIN code.
(B).Details: Click the Details tab.  
  • Taxtype: Select the tax type from the picklist.
  • TIN: Enter the TIN number of the Party(Lead)
  • CST No: Enter the CST number of the Party(Lead)
  • Sales Incharge: Select the in charge of the Sales team from the picklist.
  • Sale Pricing: Select the type of sale pricing from the picklist.
     
  • Linked Party: Select the linked party from the picklist.
  • Project Manager: Select the project manager name of the Party (Lead)
  • Accounts Manager: Select the accounts manager name of the Party (Lead)
(C). Party Branch Addon: This is used to add the branches to the Party created. This is done through the Admin Module as instructed there.
  • Note: Before entering addon values please create addon fields in Admin/AddOn Field and generate necessary Hbm Files for those AddOn Fields.
 

8. Click the Save button. Now the pop-up screen will appear to confirm that the details of the Party (Lead) are saved successfully. 

Now the Client box appears on the screen

   
  • Party: Select the Party (Lead) newly created now from the picklist.
  • Branch: Select the Party Branch from the picklist.
 

9. Contact: Click the +icon on the rightmost end of this field. The Contact lightbox opens up and by default, the Contact details tab is selected.

Below are the required details of the contact person.
  • Salutation
  • Choose File: Select a file containing any details about the contact like an introductory letter etc.
  • First name
  • Company
  • Middle Name
  • Designation
  • Last Name:
  • Mobile No
  • DOB
  • Phone No
  • Gender
  • Email
  • Link Type: Select link type from the picklist.

a. Linked - Select if the contact person or his company is already linked.

b. Direct - Select Direct if the contact person is new.

 
  • Reporting To: Select the name of the person to whom the contact person is reporting.
  • Status: Select contact details status from the picklist.
  • Save to user:  Tick the check box if the contact person is part of the sales team.
  (B). Address: Click the Address tab and enter the required details.   Below are the address details of the contact person.
  • Address
  • Phone Number
  • Mobile Number 
  • Fax Number
  • Mail ID
  • Web Address
  • Country
  • GEOcode
  • City
  • State
  • Region
  • GSTIn
  • ZIP Code
(C). Contact Addon: This is used to add any additional information of the contact person through addon fields. This is done through the Admin Module as instructed there.
  • Note: Before entering addon values please create addon fields in Admin/AddOn Field and generate necessary Hbm Files for those AddOn Fields.
10. Click the Save button. Now the pop-up screen will appear to confirm that the details of the source are saved successfully.  11. Select the Contact (Lead) that is newly created now from the picklist. 12. Status: Click the status tab and enter the required details.  
  • Expected Date: Enter the expected sale date by using the calendar icon.
  • Order Confidence%: Enter the % of confidence on getting the order.
  • Revenue Confidence%: Enter the % of confidence on generating revenue from this lead (Party).
  • Approx. Value $: Enter the approximate value of an order from the new lead.
  • Rating: Enter the rating on a scale of 1-10 based on the credibility of the Party(Lead), their Market share in the industry, their annual revenue, etc.
  • Level: Select the following Radio buttons

a. Ongoing: When generating a new lead till the lead is converted to Sale. 

b. Complete: When the lead is converted into Sale.

13. Lead Source: Click the Lead Source tab and enter the required details.  
  • Type: Select the type of Lead Source (e.g., Advertising, Social media, etc) from the picklist.
  • Lead Source Detail: Select the Lead Source details from the picklist. (e.g., Facebook, Linkedin under the Social Media Type)
  • Source Party: Select from the picklist if the source party is already existing. To create a new Source Party click the + icon on the rightmost corner. 
  • Now the Party lightbox appears. By default, the Address tab is selected.
Party Code: The party code gets generated automatically. Name: Enter the name of the Party (Source). Account: Select the checkbox to create an account for the Party (source). Status: Select the action to create a new Party (Source) from the picklist. Short Name: Enter the short name of the Party (Source).

a. Address: The Address tab is selected as a default. All the fields are self-explanatory.

b. Details: Click the Details tab and enter the required details.

  • Taxtype: Select the tax type from the picklist.
  • TIN: Enter the TIN number of the Party(Source)
  • CST No: Enter the CST number of the Party(Source)
  • Sales Incharge: Select the in charge of the Sales team from the picklist.
  • Sale Pricing: Select the type of pricing from the picklist.

14. Click the Save button. Now the pop-up screen will appear to confirm that the details of the Party (Source) are saved successfully. 15. Source Party: Select the Party (Source) newly created now from the picklist. 16. Source Branch: Select the branch from the picklist  17. Source Contact: Select the contact name from the picklist. To create a new Source contact click the + icon on the rightmost corner. The lightbox appears open up with the contact details tab selected by default. Below are the required details of the contact person(source).

  • Click the Save button. The pop-up with a successful message will appear on the screen.
  • Select the Source Contact that is newly created now from the picklist.
  18. Sales Employee: Select the salesman who is part of the Sales Team from the picklist.   19. Generated Date: Enter the Lead generated date using the calendar icon (It can be the meeting date/confirmation date from the lead source regarding the Lead). 20. Lead Details: Click the Lead Details tab and enter the required details.  
  • Category: Select from the picklist. The Category can be the name of the module/modules 
  • Stage: Select from the picklist.
  • Priority: Select from the picklist.
  • Incharge: Select the person in charge of the sales team from the picklist.
  • Allotted To: Select the salesperson to whom the lead is allotted for further follow-up/closure.
  • Tags: Enter any comments/remarks about the lead source in this box.
 
  • Status: Select the status of the lead.

a. Open: Select this option till the lead is converted to a sale or closed

b. Close: Select this when the lead is converted to a sale or closed.

  • Product: Click the Product Tab to enter the product details of the Lead.
Here we can record the different products dealt by the Lead grouped into different types, categories, brands, etc. 
  • Type: Select from the picklist.
  • Product: Select from the picklist.
 
  • Qty: Enter the product quantity.
  • Add Row: Click to update additional records. 
21. Lead Status: Click the Lead Status tab to update the status of the Lead. 22. Lead Status field: Select the status of the lead from the picklist.  23. Info: Click the Info tab to enter the details of the Lead.  
  • Turnover(in millions): Enter the client’s turnover in millions.
  • No of Employees: Enter the total number of employees of the lead. 
24. Click the attachment icon  to add any additional files about the lead (like a newspaper article, advertisement, etc.) is required. 25. Click the Save button to save. 26. The lead code gets generated and the pop-up message will appear on the screen with a successful message and lead code.
