Employee Master

Screen: Employee Master The employee master is a centralized screen to store all the information related to an employee. This unique tool in HRMS makes the work easier for entering the data of a new employee. Using this tool, the complete details are entered and driven into process information for accessing from Organisation management to Payroll Management. All the employee’s master details are converted into particular objects and mapped for other activities. Detailing the complete information about the employee is a central repository that provides access to all the relevant information pertaining to an employee. 
  • Details captured here start from the time an employee joins the organization, and includes personal details, employment contract details like salary, pay grade, joining date, designation, team, division, etc. 
  • Multiple tabs are available to capture information including family details, educational qualifications, previous designations, leave balances, loans/advances, etc. 
  • Document archive is provided to attach electronic documents (such as resumes, passport copy, KYC details, etc.) 
From the basic mapping to advanced level mapping is simplified through the below process. The mapping is an important part of the HRMS to prioritize the data and schedule for the following 
  1. In which department the employee is going to work.
  2. Under the department, which part or segment the employee will be assigned to work.
  3. If the department has subunits, then under which subunit the employee will be allotted until further notice.
  4. The employee’s personal and emergency contact details, company-related details.
  5. Importantly the employee’s attendance relates to the shift timings, salary structure, and components like PF and ESI allotments, and Gratuity.
  6. The employee’s physical details.
  7. Which are all the departments the employee will be linked to be responsible for
The major purpose of the employee master screen:

1. To create an Employee Master with the existing employees

2. To add an existing employee/newly joining employee in the Master

3. To edit the details of an employee in the Master.

How to do it? Path: HRMS > Master > Employee Details>Employee Master The Employee details screen will be opened, the complete details of the employee profile created on the employee master screen will be displayed. The plus icon is clicked to create a new employee profile.
  1. Click the plus icon to open the employee master.
 

2. Code Category: The code category is used to defining under which category the employee is allotted in the organization. This means the employee will be working in which shift, department, reporting to, designation, etc.

3. Code: Once the code category is selected, the employee code will be generated automatically once filling in all the details.

4. First Name: Enter the first name of the employee without an initial.

5. Middle Name: Enter the middle name of the employee.

6. Last name: Enter the last name/father name/initials of the employee.

7. Name: Enter the employee's official name as per the government records, this can be used in the organization records.

8. Employee Status: The status will be either active or inactive, it depends on whether the employee is still working with the organization or left the organization. 

  • Active: Select active if the employee is currently working in the organization.
  • Inactive: Select inactive if the employee is not currently working in the organization.

9. Status: The employee profile status will be defined here.

  • Active: Once the employee profile is created, then the active status is needed to be selected.
  • Pending: If the profile is not created completely, then the pending status needs to be selected.
  • Deleted: The employee may leave the current organization. If the employer removes the employee profile, then the deleted status will be selected.

10. Sort Order: Enter the sequence number in which the employee details are arranged (ascending or descending).

11. Show Archive: Select the show archive checkbox if you want to display the employee details in the archive.

12. Add: Click the add button to upload the employee image.

  • Select the following tabs and enter the details of the employee.
  • Working - Click here Employee Master-Working
  • Personal - Click the Personal tab and enter the basic details of the employee in the respective fields. All the fields are self-explanatory.
    • Date of Birth: The official DOB as per the government records is needed to be mentioned here. The actual DOB might differ from the official DOB, provide the proper DOB in the respective fields.
    • Nominee- The nominee will be a person who receives all the benefits of an employee in case of death.
    • Relation-The nominee is usually the spouse, children, or parents. Select the type of relationship from the picklist.
 
  • The contact details of an employee will be stored using this tab. All the fields are self-explanatory.
    • Office Mail: Enter the official mail address of the employee.
    • Office Mobile: Enter the official mobile number of the employee.
    • Personal Mail:  Enter the personal mail address of the employee.
    • Personal Mobile: Enter the personal mobile number of the employee.
    • Contact Name: Enter the emergency contact name for the employee. The contact name might be a parent or other family member.
    • Relationship: The type of relationship with the contact name is needed to be entered here.
  • Attendance -Click here Employee Master-Attendance
  • Salary- Click here Employee Master-Salary
  • PF- Click here Employee Master-PF
  • ESI- Click here Employee Master-ESI
  • Physical- The physical tab is used to record the employee's height, weight, and identification marks, etc. To understand the physical condition of the employee, this tab will be used by the organization.
    • Height (In Cms): Enter the height of the employee.
    • Chest Size: Enter the chest size of the employee.
    • Weight (Kgs): Enter the weight of the employee.
    • Handicapped: Select yes from the picklist if the employee is physically challenged.
    • Identification Marks: Enter any identification marks of the employee.
    • Physical Condition: Enter the physical condition of the employee.
  • Applicable- Click here Employee Master-Applicable
  • Addon- The addon tab is used to add some additional functionalities to the employee. The required functionality and features can be selected in this tab.
    • Sub: Enter the required details.
    • Second: Enter the required details.
  • Product- Click the Product tab and enter the required details.
    • Product Category: Enter the product category.
    • Product Price Category: Enter the product price category.
   
  • Click the Save button.
