Daily Attendance

The Daily Attendance tool displays employee attendance events (absences or late arrival or delays), In and Out, Shift hours, Worked hours, on a working day. From here, an attendance clerk may process individual employee attendance events following organization policy.    The employee Daily Attendance automatically generates details according to the Name, and when the employee needs to see the month’s output, the month has to be selected. After entering both the Employee and Period, the output will be presented in the below format.  The table explains the categories for the daily attendance schedule for a single employee. The shift pattern is default allocated as a General shift in most of the attendance.  Shift - The Shift pattern may vary depending on the organization’s decision. For example, if the employee is working in the night shift, working from India but if the client is from outside the shift will be based on the client’s allotted shift. US, UK or depending upon the country type the timing may also differ.  Day type - The Day type also calculates as per the Shift, when there is a holiday the whole day falls on the holiday day type. If there is a Full working day, the day type is calculated as per the Shift and the time segregated will be as per the working hours. 
  1. If the working hour is scheduled as 9 Hours, the attendance timing will fall on the following 
    1. In time - The employees punch in time
    2. Out time - Punch out time
    3. Shift Hours - Total shift hours contributed to that day.
    4. Worked hours - Employee whole day work hours, if there is excess or Shortage it will also be shown. 
  2. Excess or Shortage - As per worked hours, the timing will be calculated. 
  • In case, the employee has worked more than the shift minutes, the timing will be shown as Excess hours worked, it may be minutes or hours the excess will be shown
  • In case of shortage, if the employee working hours is less than the shift minutes, the difference between the working hours and the shift minutes will be shown as shortage early on in any situation. 
3. Late in/Early Out - The late in and Early out goes with the Worked hours or In time/ Out time. 
  1. The employees’ punch in time or punch out, are calculated to predict the late in and Early out timings. 
  2. If the employee has come late after the shift starts, that is if the shift minutes are fixed in the organization from 10:00 AM to 6:00 PM, and the employee comes at 10:30 AM, making half an hour (30) delay, it is considered as Late in. 
  3. And if the same employee leaves early at 5:00 PM itself, the early check out will be registered as One hour delay (1), This will reflect in the Shift minutes. 
  4. This will also reflect in the Monthly Attendance. 
4. Add - The add options here represent if in case the employee has any issues or clarifications that to be conveyed in regard to the attendance can be entered here. When the ADD button is clicked, the form below shows for entering the issue or concern.  After opening the form, the below details have to be entered.  Reason - The drop down is a short form to select the reason to convey the issue or concern.  If in case the issue or concern occurred is not mentioned in the Reason, the employee can convey through the Remarks.  Based upon the daily attendance timing will be updated default which cannot be changed.  In the Day type, as we discussed earlier, the concept depends on the organization decided to decide the day type.  If the employee needs to convey the issue or concern, the options are listed below.   Based on the above listing, the employee can select the type to be entered. 
  • If an employee selects Half Working - Half Absent, then the leave type can be either Comp-off Leave, Loss of Pay, sick leave or any immediate situation. 
  • Half Working - Half Leave - Will also be matched with the above concept, the leave can also be Casual leave, sick leave, or any leave type inducted by the Organization.
  • Compensate working - When the Organization incurs a shut-down on a working day, and to compensate it, the Organization requests the employees to work on a weekly off day. Or in case an employee has taken leave on any working day, and to compensate it, the employee can work on any other day where the default leave is sanctioned. (This option is based on the approval of the Company). 
  • Compensate Off - Same as the above-mentioned concept, when the employee is working on extra days that is on the week-off day, it will be considered as a Full working day for the employee and he/she can take compensatory leave. 
  • The other types are easy to understand in matching with the leave types below.
