Leave/On-Duty Application
Organizations that follow strict guidelines as per the framed HR policy, will keep the data corresponding to attendance and leave a high priority because based on this also the department or the management, will decide the shift, salary payable, alternate solution for the project or process, that is switching another employee for the person who has taken Leave or On-duty. Applying for Leave/On Duty is a vital process and made easy by entering the below details, each tab is explained briefly Leave/On duty No - the number mentioned here is a default created, already for the reference to know who has applied on this specific date and for what reason. For more details contact the company admin. Employee Name - The Leave or On Duty generates after selecting the name, then the employee can choose which number needs to be clarified. Date - This entry has to be very specific, both the company and the employee needs to be well aware to know on what date he has applied. This acts as a data created for future reference. From Date and To Date - Employee who applies for leave has to mention the days they are applying for leave, from the first day to the last day he/she applies for leave. The employee can select the leave dates from this drop-down calendar. After selecting the dates we have to apply for the exact days of leave, whether half-day or continuously four days. If the employee can apply only for two days of leave and he/she applies for another two days, these leaves will be either Loss of pay or Double loss of pay. In case if the employee goes for On-Duty, that also has to be entered here. The employee has to either select Full Day, First half or second half, it will be considered as “0.5” days if half day. The selection of leave or On-duty can be seen below. After selection of the dates click on the “Fill” button, by clicking it the below screen will be given for selecting In this screen, we can clearly see the three types of applying for leave/On-duty. In this screen whatever the employee wishes the result will reflect as “Number of Days” Type - In this option the employee has to select the following leave types After selecting the leave type, the employee can be sanctioned on what kind of leave, either Casual leave or any other leave he/she is entitled to by the company decision. The leave or On-duty decisions are entitled to the HR policy of the Company. We discussed already that if an employee has only two days of leave, but applies for 4 days. After selecting the days required the page will show the required number of days if the employee can’t apply for more leave, these kinds of pop signs will appear. Number of Days - The employee has to select how many days of leave needed. Here he can choose the days of leave. Even though selecting the leaves is applicable, the employee has to be aware, whether the leave falls on what type. The leave if it is Comp off then the leave will not have a Loss of pay, if not then the employee’s salary will get deducted. Note - To understand the leave type contact admin, or follow the HR policy. Attachment - When an employee falls sick or any medical emergency, and if there is a continuous leave due to sickness. The concerned employee has to submit the Medical letter from the Doctor attested and needs to upload it. The document can be scanned and upload it, the file shall not exceed more than 5MB. Leave Summary This summary here helps us to get the exact amount of leave taken according to the dates selected, after choosing the exact dates in the sense, the employee may know the leave taken in the previous months or days. After selecting the dates, the below screen will show up the days of leave available, and spent. Here we can see the dates selected from 1/1/2020 to 12/3/2020, after the selection the screen shows the- Type of leave - available for this employee. The above screen shows only two leaves that is Casual and Comp off leave. But when an employee opts for any other type of leave like Loss of pay, On duty.
- Opening - Number of openings available for him
- Allotted leave - leave which the employee can utilize
- Applied - as per the allotted leave, the employee can apply for leave
- Approval pending - If the employee has applied for a leave, the authoritative person who has not yet sanctioned the leave, can be viewed here.
- Balance - after the approval, leave balance can be viewed here.
